FICSIT

AI-native management for the trades

The management software that knows your company's numbers.

FICSIT is AI-native management software for anyone who works with their hands, in any trade: from builders to plumbers, from mechanics to installers. It is designed to bring quotes, scheduling, job sites, inventory and invoicing together, with an assistant built on Claude that works on your company's own data. It fits a one-person business and grows with it to dozens of crews.

Illustrative example with fictional data

The problem

Trade businesses still run on paper, WhatsApp and Excel.

Requests come in over chat. Quotes get written at night, at home. Materials used on site end up on a sheet of paper in the van. Every piece of information lives somewhere different and gets retyped at least once before it becomes an invoice.

  • Margins nobody can see.

When hours, materials and travel aren't tied to the individual job, it's hard to tell which jobs make money and which lose it.

  • Hours lost to admin.

Quotes, invoices, payment reminders and deadlines happen after the real work, often in the evening or at the weekend. Nobody pays for that time.

  • Tools built for a desk.

Most management software is designed for the office. In a basement with no signal, dirty hands and one free hand for the phone, it doesn't help much.

The product

One flow, from the first request to the closed job.

FICSIT is designed to follow every job from start to finish: request, quote, visit, job report, invoice, payment. Data is entered once and reused at every step.

  1. 1Request
  2. 2Quote
  3. 3Visit
  4. 4Job report
  5. 5Invoice
  6. 6Payment
  • Quotes

Built from the phone, with price lists and materials already loaded. The customer receives and accepts them online, and an accepted quote becomes a scheduled job.

  • Scheduling and crews

Jobs, technicians and vehicles in a single calendar. For a sole trader it's a personal diary; for a larger company it becomes crew and branch planning.

  • Invoicing

The invoice starts from the completed job, with no line items to retype. Italian e-invoicing goes through a certified provider, or data is exported for the accountant.

  • Inventory

Stock at the office, in the warehouse and in each technician's van. Materials are logged in the job report and inventory updates itself.

  • Cost and profit per job

Hours, materials, travel and external costs are assigned to each job. Estimated margin and actual margin, side by side.

  • KPIs

A few clear numbers for the sole trader. Reports by crew, branch and project for larger companies.

Works on site, too.

Assigned jobs, checklists, job reports and photos stay usable without a connection. When the signal comes back, FICSIT syncs everything and flags conflicts instead of overwriting anyone's work.

  • Saved on the phone
  • Waiting for signal
  • Synced

Grows with the company.

One data model, four company sizes. Moving from one to the next needs no migration.

  • Sole trader

Customers, diary and quotes for one person, with no teams or departments to configure.

  • Micro business

Shared calendar, job assignment, simple roles.

  • SME

    Crews, managers, purchasing, approvals.

  • Larger company

Multiple branches, fine-grained permissions, subcontracting, audit trail.

The features described on this page represent FICSIT's product vision.

AI at the core

An assistant that knows your company's numbers.

At the core of FICSIT there will be an assistant built on Claude, Anthropic's model. It works only on your organization's data, with your own permissions, and you approve every action it proposes.

  • Answers questions about your data.

    YouExample

How much did I make on boiler jobs this month?

The assistant works out the answer from logged jobs, hours and materials, and shows which jobs the figure comes from.

  • Drafts quotes from a spoken description.

    YouExample

Replace a condensing boiler, third floor with no lift, remove the old unit.

Dictate the job the way you'd explain it to a colleague: the assistant drafts a quote with line items, materials and hours. You check it, edit it and send it.

  • Flags jobs that lose money.

    AssistantExample

The Via Roma site has already gone over the hours in its quote.

It compares quote and actuals and explains where the margin went: extra hours, unplanned materials, travel.

  • Remembers deadlines, reorders and follow-ups.

    AssistantExample

Job reports show 400 of the 500 fittings from the last order have been used. Reorder? Estimated cost based on the last purchase.

Scheduled maintenance, overdue invoices, customers due for their annual service.

  • You approve.

The assistant proposes; decisions on prices, payments and assignments stay with you.

  • Shows its sources.

Every suggestion says which data it is based on.

  • Sees what you see.

It respects permissions and keeps each company's data separate.

  • Can be switched off.

The management software works without it.

The sentences in these examples illustrate the interface and are not real data.

Vision

Management software and a marketplace, on the same core.

FICSIT is designed to bring two things together: the management software tradespeople use every day, and a marketplace where customers request a job. The customer describes the work, the tradesperson replies with a quote made in the same tool, and the accepted job goes straight into their schedule.

  • Customers and tradespeople in one flow.

Request, quote, visit and documents stay linked. Customers keep a history of the work done in their home; tradespeople never enter anything twice.

  • In-app payments.

Payments are handled directly in the app and stay linked to the quote, the job and its documents. Customer and tradesperson always have a record of what was paid and for which job.

  • Other industries, later on.

Customers, jobs, documents and payments are common to many kinds of business. In the future, the same core could serve industries such as hospitality and manufacturing.

How we build it

Built with Claude Code, designed for the job site.

FICSIT is developed entirely with Claude Code, Anthropic's coding agent. Every module starts from a written specification, is built in layers and verified with automated tests. The most sensitive parts (security, payments, data separation between companies) will go through an independent review before launch.

Architecture

  • Offline-first.

The technician's phone holds a local database. Job-site actions are saved there and queued for sync as soon as there's a connection. Every operation has a unique ID, so nothing is recorded twice. Conflicts are shown to a person and are never resolved silently. On-device data is encrypted and expires; accounting, bank details and permissions stay online-only.

  • One organization, separate data.

Every user belongs to an organization, even when working alone. Data isolation is enforced in the database and every permission is checked on the server, never only in the interface.

  • Three apps, one core.

An app for technicians, an app for end customers, and a web app for the office. Stack: Expo (mobile), Next.js (web), Supabase (database and authentication).

Where Claude comes in

  • In the code.

Claude Code writes, refactors and tests the software, working from each module's specification.

  • In the assistant.

Claude answers questions and prepares drafts through controlled tools, with the user's permissions. It never writes to the database directly.

  • In dictated drafts.

A spoken description becomes an editable quote.

  • In alerts.

Stock levels, deadlines and calendar clashes are calculated by software rules, which are cheap and never get the maths wrong. Claude steps in afterwards: it explains what happened and proposes the next action.

Each organization has an AI budget that is checked before every model call. If the budget runs out, the assistant pauses and the management software keeps working.

Roadmap

How we're building Release 1.0.

FICSIT is built in layers, in the order below. Each layer is a piece of the final product, built to production quality. The public launch happens once, when the product is complete.

  1. Layer 01

    Foundations

Organizations, users, roles and permissions for every company size; audit trail; privacy; offline and sync design.

  2. Layer 02

    Operational core and mobile

Customers, installations, jobs, quotes, scheduling, signed job reports, documents, offline mode.

  3. Layer 03

    Teams and work organization

Crews, job assignment, multi-branch calendar, approvals, timesheets, projects and multi-contractor sites.

  4. Layer 04

    Materials, vehicles and maintenance

  10. Layer 10

    Final verification and launch

Independent security testing, legal and privacy review, rollout by area and trade.
